Information Needed for a Faster Commercial Enquiry

Material samples, drawings and measurements prepared for a trade enquiry
A concise brief helps the supplier identify relevant products and current availability more quickly.

A good material enquiry does not need to be long. It needs to answer the few questions that determine product family, format, quantity and timing.

Lead with the application

Begin by stating what is being made. A sign face, raised acrylic lettering, wardrobe shutter, feature wall, facade, retail display and flooring project may all involve sheet or surface materials, but each requires a different conversation.

Describe the application in one sentence and mention whether it is for an indoor or exterior setting. If you already know the product family, include it, but do not rely on a product name alone.

Provide dimensions in a usable format

Share overall dimensions, required thickness where known and approximate quantity. For sheets, specify whether the dimensions refer to full sheets or cut components. For wall and floor products, provide the total area as well as the principal wall or room measurements.

A marked drawing or clear photograph is often more useful than a long message. Highlight the area in question and add the key dimensions directly to the image.

Explain the visual requirement

Colour names can be interpreted differently, so attach a reference and describe the intended character. For acrylic signage, say whether you need a solid colour that allows light to pass without being see-through, an opal face for diffusion, a mirror effect or a clear format. For decorative surfaces, mention the preferred tone, pattern scale and nearby materials.

Physical samples remain the final reference. Digital images help narrow the direction, after which current shade availability can be checked through Crystal Polycast.

Quick brief: Application, dimensions, thickness or profile, colour direction, quantity, project city and required date are the seven most useful details.

Include the project location and timing

Crystal Polycast supplies customers across India from Bhilwara, Rajasthan. The project city and expected requirement date help the team understand the enquiry context and discuss current supply options.

If the project is phased, identify the immediate quantity and the possible later requirement separately. This keeps the first discussion focused while giving useful visibility of the wider project.

Identify your role

Mention whether you are a dealer, distributor, architect, interior designer, fabricator, contractor or retailer. This helps the team respond with the most relevant product information, catalogue or sample discussion.

Use one clear contact trail

Keep drawings, selected references and follow-up questions in the same WhatsApp or email conversation where possible. Label revised dimensions clearly and confirm the final product reference before ordering. A short written summary after a phone conversation can prevent confusion later.
